When to open more pickup slots, when to cap them · data to Sun 4 Oct 2026

The short version

  1. Kellyville will be our second-busiest pickup store, not a side store. It already has 46% of pickups, and 39% of last year's Arndell Park pickups came from people who live closer to Kellyville. Expect about 500–590 pickups, most of them on Thu 5, Fri 6 and Sat 7 Nov.
  2. The store is already full without pickups. Last Diwali Kellyville rang up 104 sales in one hour (3pm, Sun 19 Oct 2025) and 70–100 an hour all weekend. The car park has about 54 bays, shared with six other businesses (a GP, chemist, dentist, Domino's, Broaster Chicken and a real estate office), plus overflow from the post office, Kennards Hire and the school next door.
  3. Open more pickups in the mornings (9–11am) and late (8–10pm) on Thu and Fri. Those are the hours when walk-ins are lowest and the car park empties. The store normally opens at noon on weekdays, so this means opening early that week.
  4. Limit pickups 5–7pm, and 2–3pm on school days. 5–7pm brings our own dinner rush, the takeaways, the gym next door and Windsor Road's evening peak all at once. Kellyville Public School next door lets out at 2:50pm.
  5. Late slots: yes on the weekdays, as overflow on the weekend. Weekday buyers happily take evening slots (last year's Friday 5pm and 7pm sold out). Weekend buyers want mornings (Saturday's 7pm slot took 12 of 50).

  • Room each big day (151–164) sits about 10–20% above the expected bookings, so the plan pushes people into quieter hours instead of turning them away. If bookings run hot, open a little more on Wed 4 Nov, not more at 5–7pm.
  • Diwali day (Sun 8) closes pickups at 5pm: last year almost all Diwali-day pickups were in the morning, and families are home for puja in the evening.
  • 8pm–10pm slots need the store open later. Last Diwali Kellyville traded until about 11pm; it normally closes around 8pm now.

  • The weekend before Diwali ran at 70–100 sales an hour from late morning to 7pm. The weekdays before it peaked after work: Friday 17 Oct hit 69 at 6pm and 78 at 7pm.
  • Mornings are the quiet window: under 30 an hour before 11am on weekdays, under 60 before 11am on the weekend.
  • This year's Thu 5 and Fri 6 Nov are weekdays (last year's equivalents were Fri and Sat), so expect the weekday shape: quiet mornings, busy evenings.

  • Mornings sell out first. 10am and 11am were booked 2–3 weeks ahead and almost no one got them in the final week. They also carry the biggest orders.
  • Afternoons are the overflow. A quarter to a third of 2–4pm bookings came in the final week, from people who found the mornings gone.
  • Evenings work on weekdays only. Friday's 5pm and 7pm slots sold out; on Saturday and Sunday the 7pm slot took 11–12 people.

Pickups sit where the walk-in bars are lowest: early morning and after 8pm on the weekdays. Walk-in numbers are last year's, so treat them as a guide; some of those walk-in buyers will pre-order this year instead.

The parking maths

A car park keeps about arrivals per hour × minutes on site ÷ 60 cars at any moment. Last Diwali's busiest hour at Kellyville (104 sales) at about 12 minutes each needs roughly 21 bays for our walk-in customers alone, over a third of the whole complex. A pickup is quicker (about 5 minutes when the order is packed and waiting), so 20 pickups an hour need only about 2 bays. That's why the plan puts pickups where walk-ins and the neighbours are quiet: the risk is the queue and the car park in the dinner rush, not the pickups themselves.

  1. At the door: split the two queues. A stand-up sign and two stanchion lines: "Diwali pre-order pickup, straight ahead" and "Order and pay, to the left". In on the right-hand side of the door, out on the left.
  2. Pickup queue in the seating area. Clear the ten loose tables Thu–Sun and run a short zig-zag queue along the window. About 20 m², enough for 15–20 people. Put the store QR check-in sign at the start of the queue so people check in and have their code ready.
  3. Pickup point at the top end of the counter. It's the closest counter face to the packing room, so staff carry orders a few steps with no walk-in queue in the way. Orders are packed and shelved behind it by store and slot before each hour starts.
  4. Walk-in queue along the display cases. Customers order mithai and hot food at the cases as now; the queue runs along the cases, away from the pickup lane.
  5. Pay at the corner of the counter. One till for walk-ins only, so pickup handovers never wait behind a card payment.
  6. One way out. A clear lane down the middle of the floor to the door's left-hand side.

Better still, if the new unit (the old Chinese restaurant) has its own door: run all Diwali pickups from there, with orders staged in it the night before, and keep this shop for walk-ins only. Tell me which side of the shop it is on and I'll draw that version too.

They drive in

Median distance from home to the store is 6.9 km; 65% live within 10 km. Almost everyone arrives by car.

Direction they come from (bookings within 40 km): 29 from the Castle Hill / Baulkham Hills side, 22 from the Rouse Hill / Schofields side, 9 from elsewhere. Customers from the Castle Hill, Baulkham Hills and Memorial Avenue side arrive on the far side of Windsor Road and need a right turn across two lanes with no turn bay. That turn is far easier after 7pm, when the oncoming traffic drops by over a third.

Late-night slots: worth it?

Yes for Thu 5 and Fri 6 Nov, with 15–20 people a slot from 8pm to 10pm. After 7pm Windsor Road carries about half its 4–6pm traffic, and the lanes that Castle Hill-side customers must turn across drop by over a third. Kellyville's own weekday rush is over by about 8pm, and the GP, chemist, post office, Kennards Hire and school have all closed. Domino's keeps going but its customers stay only a few minutes. Last year's Friday 5pm and 7pm pickup slots at Arndell Park both sold out, so weekday customers do use evening slots.

On Sat 7 Nov, keep evening slots as overflow only. Weekend buyers want mornings. Last year Saturday's 7pm slot took 12 people while every morning slot sold out.

Not on Diwali day. Close pickups at 5pm on Sun 8 Nov.

What it needs: staff rostered to 10pm Thu–Sat, the store open later (last Diwali it traded to about 11pm), good outside lighting, and orders packed before 8pm so handovers take a couple of minutes.

Next steps

  1. Set Kellyville's own caps and hours in Bird this week, before it fills. Bookings already made aren't affected. (Abhi)
  2. Decide Diwali-week trading hours for Kellyville. It normally opens at noon on weekdays and closes 7–8pm; the plan needs 9am to 10pm Thu 5 to Sat 7 Nov and 9am to 5pm on Diwali day. Roster for it.
  3. Use the new unit (the old Chinese restaurant) as the pickup counter, so pickup customers don't queue behind walk-ins.
  4. Ask the landlord about two or three "Pickup, 10 min" bays near the door for Thu 5 to Sun 8 Nov.
  5. Run the Kellyville drill on 20 Oct (already planned for the pickup system) and time a handover; adjust the caps from that.
  6. Re-check bookings around 16 Oct and move room between hours if one block fills early.

How this was worked out

Walk-ins: Square sales (completed orders over $0) per hour at Kellyville, 1 Sep–26 Oct 2025 and 31 Aug–4 Oct 2026, and Arndell Park, Diwali 2025.

Pickups: Shopify Diwali orders. 2025 = orders booked for 11–22 Oct 2025 (1,305 pickups); 2026 = bookings for 30 Oct–10 Nov made by Sun 4 Oct 2026 (134 pickups, 62 at Kellyville). Slot and store come from Bird's booking details.

Expected Kellyville pickups: 2026 pickups are pacing at 97% of 2025 at the same point, so about 1,267 in total. Kellyville's share is 39% (people who live closer to Kellyville last year) to 46% (share so far). Days split like Arndell Park's 2025 pickups.

Customer locations: billing addresses, grouped by suburb and rounded to about 1 km. No names, addresses or orders are shown here.

Parking: bays counted from aerial photos; treat as ±3. Visit-length figures (12 min walk-in at Diwali, 5 min packed pickup) are assumptions to check at the 20 Oct drill.

Limits: walk-in forecasts reuse last year's numbers; some of those customers will pre-order this year. Last year's Kellyville days line up with this year's by days-before-Diwali, so weekday and weekend fall on different dates.
